ADMINISTRATIVE AND ACCOUNTING ASSISTANT

You will be required to perform a range of administrative tasks related to various areas, including, including accounting, general office administration and human resources.

You will have a hybrid work schedule (with at least two days spent at the office per week).

AS ADMINISTRATIVE AND ACCOUNTING ASSISTANT, YOUR DAILY ROUTINE WOULD CONSIST IN:

Accounting duties (60%)

  • Entering client invoices in the accounting system.
  • Producing internal and external reports in Excel.
  • Sending invoices to clients.
  • Performing regular follow-ups with project managers.
  • Responding to requests from internal and external clients by phone

Administrative support duties (10%)

  • Providing administrative support to senior management.
  • Providing administrative support to operations (e.g., reports, data entry).

Reception and office management duties (20%)

  • Taking phone calls and greeting visitors.
  • Coordinating office supply orders.
  • Coordinating office space maintenance requests via a ticket system.
  • Coordinating delivery logistics (requisitions, receiving and distribution).
  • Organizing management members’ travel (e.g., hotel accommodations, air travel) and registering management members for various events (e.g., seminars, conferences).
  • Ensuring that common areas are well organized and clean.
  • Coordinating meal orders.

Human resources duties (10%)

  • Assisting HR with the onboarding of new hires.
  • Following up on applications for professional order accreditation.
  • Following up on external training.
  • Performing any other related tasks

THIS POSITION MAY BE IDEAL FOR YOU IF YOU:

  • Have a vocational degree in accounting or a related field.
  • Are familiar with the MS Office suite.
  • Are bilingual in French and English, both spoken and written.
  • Have two to three years’ experience in a similar office position.
  • Are meticulous and thorough.
  • Enjoy working in a high-volume (12,000 client invoices per month) and high-productivity environment.
  • Work well in a team and are able to maintain efficient and harmonious interpersonal relations.
  • Have good time and priority management skills
