RECEPTIONIST/ADMINISTRATIVE ASSISTANT
You will be required to perform a range of administrative tasks related to various areas, including general office administration and human resources.
AS RECEPTIONIST/ADMINISTRATIVE ASSISTANT, YOUR DAILY ROUTINE WILL CONSIST IN:
Administrative support duties
- Providing administrative support to senior management.
- Providing administrative support to operations (e.g., reports, data entry).
- Performing any other related tasks.
Reception and office management duties
- Taking phone calls and greeting visitors.
- Coordinating office supply orders.
- Coordinating office space maintenance requests via a ticket system.
- Coordinating delivery logistics (requisitions, receiving and distribution).
- Coordinating the logistics of internal moves.
- Organizing management members’ travel (e.g., hotel accommodations, air travel).
- Registering management members for various events (e.g., seminars, conferences).
- Organizing and coordinating in-house events (e.g., invitations, reservations, catering).
- Ensuring that common areas are well organized and clean.
- Coordinating meal orders.
- Performing any other related tasks.
Human resources duties
- Assisting HR with the onboarding of new hires.
- Following up on applications for professional order accreditation.
- Following up on external training.
- Assisting HR with occupational health and safety (ergonomic) matters.
- Performing any other related tasks.
THIS POSITION MAY BE IDEAL FOR YOU IF YOU:
- Have a vocational degree in office technology, secretarial studies or a related field.
- Have at least three years’ experience in a similar position with a service firm.
- Have strong customer service skills and know how to efficiently manage expectations.
- Are able to manage priorities and multitask.
- Understand the nuances and challenges of the work environment.
- Are quick-thinking and able to manage unexpected events.
- Are familiar with the MS Office suite. Are proficient with computer graphics tools (asset).
- Are bilingual in French and English, both spoken and written.
- Are meticulous and thorough.
